Staying One Step Ahead, docHarbor Keeps Current with Regulatory Compliance

SAN DIEGO, CA - January 30, 2007: docHarbor, a division of Anacomp, knows regulatory compliance is only half of the document management challenge. "Staying current with compliance and security regulations can make handling billions of documents a nightmare and a large financial risk for both information technology staff and business owners," says Corey Meitchik, Senior Vice President of Worldwide Sales and Marketing for Anacomp. "It's a challenge that rings from Wall Street to the US Senate and thus to any organization doing business in the international market," he continued. Keeping current for docHarbor means staying one step ahead of market requirements.

docHarbor provides document services to help organizations meet the existing, stringent audit and reporting requirements of regulations such as Sarbanes-Oxley Act and the Securities Exchange Commission, rule 17a-4. Compounding the challenge is the need to provide both data security and appropriate accessibility required by regulations and guidelines such as the Health Insurance Portability and Accountability Act of 1996 (HIPAA) and the Americans with Disabilities Act (ADA).

"Not only does docHarbor help in achieving compliance with these existing regulations, but our services also go steps beyond, ensuring that not only do authorized personnel have access to sensitive, secure documents but that they can access them at a moment's notice from anywhere in the world. Ours is truly a solution that meets the needs of the enterprise as it meets the needs of regulatory compliance," Meitchik added.

The challenges of compliance can be daunting. For example, in regulations such as Sarbanes-Oxley and HIPAA, not only must companies be able to report and manage who has access to documents and metadata information, but they must also provide data on historical access privileges, as well as secure, auditable evidence that internal controls are in place.

With that in mind, docHarbor Online provides web access in a hosted environment to documents using flexible role-based privileges including real time filtering of document access based on document metadata and user attributes. docHarbor's CD/DVD solution for delivery of documents directly to customer locations now offers document access control by document type.

Both solutions are designed for encryption of metadata and document data during transmission and retrieval using encryption based on secure and proven, state-of-the-art algorithms. In addition, these docHarbor applications support user authentication and flexible password rules, and allow for auditing of document retrievals including username, date/time of access, and metadata of the document itself. "Authorized, need-to-know personnel still have access to critical documents at a moment's notice," Meitchik stressed, "The key to staying abreast of these needs is to stay ahead of the demand. That takes constant vigilance and a commitment to even higher levels of compliance, security and accessibility."
